Tranquil Expeditions and Wellness Retreats is thrilled to craft your personalized adventure. To ensure a smooth journey, please review our booking terms and conditions:

1 . Booking Your Tranquil Escape

Explore Your Options: Start by browsing our website or scheduling a complimentary 15- minute consultation. We’re happy to answer your questions and design your dream itinerary. Locking in Your Adventure: Once you’ve chosen your experience, a simple online form or a quick call secures your spot. A 50% deposit is required to confirm your booking.

2. Trip Inclusions and Exclusions

Immerse Yourself: Our packages encompass luxurious accommodations, comfortable transportation, entrance fees, delicious meals, and internal transfers – all meticulously curated for your comfort.

Know Before You Go: International flights, personal expenses like laundry, tips, excess baggage, travel insurance, and activities beyond the itinerary are not included.

3. Peace of Mind

Emergency Response: Should a medical emergency arise, we provide air ambulance services for evacuation. Treatment costs, however, are not covered.

4. Payment Options

Unless otherwise stated, a 50% deposit is required at the time of booking. The balance is payable 21 days before the travel date for local travel and 30 days before the travel date for international travel.

Flexible Transactions: We accept payments via bank transfer, Mpesa, Paypal, or any other pre-arranged method for your convenience. All quoted prices are net and include applicable taxes.

5. Cancellation & Unforeseen Circumstances: Changes in Course

I. By Us: While we meticulously plan your adventure, unforeseen situations like natural disasters or political unrest (force majeure) may necessitate adjustments. We reserve the right to modify itineraries or cancel tours if it’s very necessary. We will strive to find the best alternative solutions and offer a fair refund based on the remaining services provided if cancellation occurs on our end. Similarly, we may decline or remove participants whose behaviour disrupts the tranquillity of the group in case of group/ joining trips.

II. By You: We understand that plans can change. Please notify us of cancellations in writing. Here’s how our cancellation policy works:

  • 60 Days or More: A cancellation fee of $200 will be applied.
  • 30 Days or More: A cancellation fee of 25% of the total trip will be applied.
  • Less Than 14 Days or No-Show: Unfortunately, no refunds are available.

III. Accommodation refunds: In some cases, accommodation cancellation policies may differ from our own. We will inform you of any specific hotel cancellation terms that apply to your chosen accommodation. These policies may include:

  • Non-refundable deposits: Some hotels retain deposits for cancellations made after a certain date
  • Credit notes: Certain hotels may offer credit notes for the unused portion of your stay instead of a cash refund, depending on their cancellation policy and the reason for cancellation.
  • Flight Cancellation: Most airlines charge cancellation fees, especially for non-refundable tickets. These fees can vary depending on the airline, the fare class of your ticket, and how far in advance you cancel. Airline cancellation fees shall apply.

6. Price Fluctuations:

Tour costs are subject to change due to fluctuating tariffs and external factors including adjustments in Park Fees, Flight Fares etc. We will always strive to inform you of any adjustments before confirmation.

7.Substitutions for the Better:

In rare instances, we may substitute hotels, and transportation, or adjust the itinerary slightly due to adverse weather, airline disruptions, or other valid reasons. Rest assured, any alternatives will be of comparable quality and enhance your experience.

8. Changing Your Travel Date

Notify us promptly if you need to change your travel dates. We’ll try to accommodate your request, but changes are subject to availability and may incur additional costs.

I. Accommodation Availability: Changing dates may affect your accommodation options. We’ll find alternatives if necessary, and any cost differences will be communicated.
II. Flight Costs: Date changes can lead to higher flight costs and airline fees, which will be your responsibility.
III. Ground Transfers: Altered dates may impact the availability and cost of transfers. We’ll inform you of any changes.

9. Safety and Security

  • Your Wellbeing Matters: We prioritize your safety. Utilize hotel safes for valuables. Exercise caution in crowded areas and unfamiliar surroundings. Seek consent before photographing locals.
  • Travel Insurance is Key: While we take every precaution, unforeseen circumstances like injury, loss, natural disasters, or acts of terrorism can occur. We strongly recommend travel insurance for comprehensive coverage. Airlines have limitations on liability, so be sure to review their terms as well.
  • Partnering for Success: We may subcontract certain services, and these partners will also be subject to our liability clause.
  • Legal Matters: Any legal claims arising from your tour will be subject to the jurisdiction of the courts in the country where the incident occurred.

10. Data Protection and Privacy

Tranquil Expeditions is dedicated to protecting your personal data in line with GDPR and other privacy laws. We gather essential information, such as your name, Passport details, contact details, and payment information, to process your booking and enhance your experience. Your data is used solely for managing your travel arrangements and improving our services. Promotional communications will be sent to you once you sign up to our emailing list and you will have a chance to opt out. Should you receive promotional emails after opting out, please email us at bookings@tranquilexpeditions.com.

Please note:

  • Data Sharing: We may share your information with trusted partners, such as airlines and hotels, to fulfill your booking. These partners are also required to protect your data.
  • Your Rights: You have the right to access, correct, delete, or restrict your data. You can also opt out of data processing or request data portability by contacting us.
  • Data Security: We use strict security measures to protect your information from unauthorized access and will retain your data only as long as necessary.
  • International Transfers: If your data is transferred outside the EEA, we ensure it is protected in accordance with GDPR.
